PROGRAMMES MANAGER ON "DEVELOPMENT, OPERATIONS & EVENTS"

Depending on the track record and CV Portfolio other titles and remuneration levels will be considered. Applicants with less experience may be considered for the post of a Programmes & Development Officer with an event coordinator role.

 

Design Trust, an innovative non-profit organisation, is looking for a dynamic, organized team member to engage in the development of strategies for patrons, trustees, and sponsors relationships, as well as events management. Working closely with the Executive Director, the candidate should be a leader, an enthusiastic learner, detailed oriented, great organiser, self-starter, and interested in design, cultural and design related issues.

Responsibilities:

  • - Work closely with the Executive Director, programmes team on flagship projects, grant programmes and the Annual fundraising gala.
  • - Responsible for the administration, financial management, smooth running of Development programmes, and Annual Gala fundraiser, such as the co-ordination between all stakeholders, sponsors and participants.
  • - Develop and organize programmes and events from planning, budgeting, promotion, to programme execution and reporting.
  • - Managing marketing and PR strategy, website and archival documentation with appointed external vendors and team.
  • - Attending internal and external workshops, events and functions when needed.
  • - Prepare presentation materials, proposals, reports and other confidential documents.
  • - Executing all project and sponsorship documents; reaching out to potential sponsors & setting up donation schemes.
  • - Support all internal and external communications: website, newsletter, social media and events.
  • - Maintain and update administrative filing in a systematic way, ensuring accuracy and validity of information.
  • - Manage and optimize procedures such as database and CRM management.
  • - Coordinate with outside consultants or departments, external vendors and service providers to ensure smooth daily operation.
  • - Support and coordinate recruitment and supervise internship programmes.
  • - Maintain trusting relationships with donors, grant recipients, and external stakeholders.

The Appointee shall report to the Executive Director, and the Executive Director’s designated representative from the organization.

Requirements:

  • - University Degree holder.
  • - At least 5 years of full-time working experience.
  • - Ability to build and maintain relationships, proactive and able to work independently. Work efficiently and accurately.
  • - Ability to work as part of a team, excellent communication, presentation, written and office related skills.
  • - Proficiency in MS Word, Excel and PowerPoint. Technologically adept.
  • - Fluency in spoken and written Cantonese, Mandarin and English.

This position is to commence as soon as possible on a two-year fixed-term basis with contract-end gratuity and contribution to a retirement benefits scheme, totalling up to 10% of basic salary, and with the possibility of renewal.

OFFICE ADMIN MANAGER ON "ADMINISTRATIVE & FINANCE"

Design Trust an initiative of registered charity Hong Kong Ambassadors of Design, an innovative non-profit organization, is seeking for a detailed oriented, and organized team member to engage in the smooth operations, financial and administrative matters, and office management of all the documentation of the organization, and supporting all day-to-day operations. Candidates should possess the ability to execute the overall administration, accounting, financial and smooth running of the registered charity.

Responsibilities:

  • - Work closely with the Executive Director and team members of the organization.
  • - Responsible for executing administrative duties, book-keeping and financial processing, and smooth running of the office.
  • - Ensure daily operations and functions are executed and on time.
  • - Maintain and update administrative filing in a systematic way, ensuring accuracy and validity of information.
  • - Keep financial records, performing financial procedures, and maintaining accounting records.
  • - Develop and maintain effective office systems and supporting efficient running of daily operations, including office and archive gallery space such as minor office renovation matters.
  • - Ensure staff handbook is reviewed and updated as required.
  • - Maintaining personnel records, managing and executing all optimize procedures such as vendors, who are involved in database management.
  • - Attend all functions as required and provide logistics support for programmes and activities, venue and exhibition support logistics.

DESIGN TRUST INTERNSHIPS - GRAPHIC DESIGN

We are currently seeking interns in graphic design, individuals with strong research skills to work on book design, graphics for social media, infographics with a curatorial mindset. Interns play a key role in the accomplishment of our mission, and gain access to our staff and network of advisors, architects and designers here in Hong Kong and the region. EVENTS HELPER

 

Design Trust is looking for a dynamic and organized individual to engage in all areas of being our events helper.

Responsibilities:

  • - Work closely with the Design Trust team.
  • - Assist and ensure smooth running of the exhibition.
  • - Answer enquiries, ushering and promote exhibition to visitors.
  • - Facilitate exchange with the community; assist with workshops, opening events, and public lecture, as well as conducting surveys.
  • - Assist with the set-up and dismantle for the exhibitions and events, logistics liaison, moving of exhibition models, etc.
  • - Conducting exhibition tours of approximately 1 hour in length. Be comfortable speaking to small and large groups of people of all ages.
  • - Greeting and welcoming tour groups upon their arrival.
  • - Dealing skilfully with a variety of visitors under a variety of circumstances.
  • - In the event that a tour fails to show up, docent might wander through the exhibition gallery to engage individual visitors and families in impromptu tours or conversations.
  • - Taking responsibility to find a replacement docent if you cannot give a tour that has been assigned to you.

Requirements:

  • - Good communication skill in English and Chinese
  • - Interest and passionate with design topics
  • - Flexibility in working hours
  • - Relevant work experience is preferred
