OFFICE ADMIN MANAGER &

Executive Assistant to Executive Director

with appreciation of Non for profit work and event based programmes

 

Design Trust an initiative of registered charity Hong Kong Ambassadors of Design, an innovative non-profit organization, is seeking for a detailed oriented, and organized team member to engage in the smooth operations, financial and administrative matters, and office management of all the documentation of the organization, and supporting all day-to-day operations. Candidates should possess the ability to execute the overall administration, accounting, financial and smooth running of the registered charity. This position is to commence as soon as possible on a two-year fixed-term basis with contract-end gratuity and contribution to a retirement benefits scheme. Shortlisted candidates will be invited to attend a written test and an interview.  Applicants with less experience may be considered for the post of Administrative & Finance Officer role.

Responsibilities:

- Work closely with the Executive Director and team members of the organization.

- Responsible for executing administrative duties, book-keeping and financial processing, and smooth running of the office.

- Ensure daily operations and functions are executed and on time.

- Maintain and update administrative filing in a systematic way, ensuring accuracy and validity of information.

- Keep financial records, performing financial procedures, and maintaining accounting records.

- Communicate with partnership institutions and organizations for DESIGN TRUST Gala, patron programmes and grants programmes.

- Develop and maintain effective office systems and supporting efficient running of daily operations, including office and archive gallery space such as minor office renovation matters.

- Ensure staff handbook is reviewed and updated as required.

- Maintaining personnel records, managing and executing all optimize procedures such as vendors, who are involved in database management.

- Attend all functions as required and provide logistics support for programmes and activities, venue and exhibition support logistics.

- Support all matters relating to the studio - office and archive gallery space such as office exhibition matters or design exhibition coordination related matters.

- Coordinate with outside consultants or departments, external vendors and service providers to ensure smooth daily operation

- Attend all functions as required and provide logistics support for patron and fundraising programmes and activities, venue and exhibition support logistics.

- Support the Executive Director on HR matters, recruitment and confidential matters to Internship programmes.

Requirements:

- University Degree holder.

- At least 5 years of full time working experience.

- Ability to build and maintain relationships, proactive and able to work independently. Work efficiently and accurately.

- Ability to work as part of a team, excellent communication, presentation, written and office related skills.

- Proficiency in MS Word, Excel and PowerPoint. Technologically adept.

- Fluency in spoken and written Cantonese, Mandarin and English.

Development & Events Manager

With Manager level business development skills and acumen (Roles and title can be discussed in detail with the right candidates' background, strengths, experience). Design Trust, an innovative non-profit organisation, is looking for a dynamic, organized team member to engage in the development of strategies for patrons, trustees, and sponsors relationships, as well as events management. Working closely with the Executive Director, the candidate should be a leader, an enthusiastic learner, detailed oriented, great organiser, self-starter, and interested in design, cultural and design related issues with international experience and global mindset.

Responsibilities:

- Structuring and management of patrons, trustees, and sponsors relationships;

- Developing an annual programme of events for patrons, trustees, and sponsors;

- Driving CRM/Database management and adhering to data privacy regulations;

- Work plan strategies including budgets, projected incomes and tracking monthly budgets;

- Building sponsorship acquisition and renewal strategies;

- Planning, executing and implementation of annual fundraiser and other events;

- Planning and implementation of marketing collaterals and messaging to ensure brand alignment and collaboration with team.

The position will require great communication skills in both spoken and written English and Chinese (both Cantonese and Mandarin), attention to details, and events management.

Fluency in spoken and written English, and Chinese is required. Strongly preferred with fluent spoken and written Mandarin Chinese/ Putonghua as a plus. Knowledge of the Design Industry, Cultural and creative ecosystem of Hong Kong, Greater Bay area, Shanghai and Beijing to Asian regions is expected and a knowledge and alignment with DESIGN TRUST core values.

Candidate’s with Master Level Degree academic qualification is preferred and highly recommended for this post and minimum 5 years of work experience in a professional field is preferred.

Programmes and Grants Coordinator

Design Trust an initiative of registered charity Hong Kong Ambassadors of Design, an innovative non-profit organization, is seeking for a dynamic, DETAILED Programmes and Grants Coordinator to handle our ongoing grants application process as well as research and public events. The position will require great communication skills in both spoken and written English and Chinese (both Cantonese and Mandarin), attention to details, and basic graphic design skills.

Applicant with less experience will be considered as Programme and Grants Officer.

Responsibilities:

- Coordinate and handle incoming grants applications via online grant portal, liaise and work with the applicants and application vetting panel.

- Present and organise application and vetting process, ensuring transparency and fairness.

- Coordinate and schedule interview meetings with grant applicants and organise meeting notes and meeting summary.

- Draft, process and archive documents related to grant projects such as announcement, offer letters and agreement.

- Organise and archive grant projects status updates and report to the designated Supervisor or Director in a timely manner.

- Proficient in using MS Excel and PowerPoint to prepare grant reports and statistics.

- Support in online grant portal functionalities checking to ensure smooth running.

- Support in drafting weekly bilingual social media content (IG & FB), quarterly newsletter and prepare eDMs.

- Supporting on website update, graphic design and archival documentation with appointed external vendors and team members.

- Communicate with partnership institutions and organizations.

- Attending workshops, events and functions relating to the curatorial projects.

- Assist in coordinating, organizing and manage events/ exhibitions onsite set up.

- Prepare design presentation materials utilizing graphic design software and skills, proposals, reports and other confidential documents.

Requirements:

- Knowledge on Design, Research, Cultural Studies is a must with analytical and administratively organized skillset.

- University Degree holder. Priority for candidates who possess degree in Journalism, Media, Cultural Studies, and/or analytical Design /Architectural studies background.

Architectural and Design Coordinator

Design Trust, an initiative of registered charity Hong Kong Ambassadors of Design, is seeking for dynamic and creative "Architectural and Design Coordinator" [Year out/ post-Architectural Bachelor studies level or equivalent in the field.]

 

This role will be:

- Mainly working closely with the lead curator and curatorial team to support and organise design workshops, coordination meetings, site inspections and events of the flagship project Design Trust Futures Studio “Play is for the People” micro-park initiative.

- Coordinating and liaising with internal and external stakeholders to ensure the smooth running of public space projects at different stages, from design development to implementation and construction.

- Researching, designing and coordinating production of publicity content, publications, community event and exhibition materials.

- Researching and supporting grants and fellowship schemes, and other programmes led by Design Trust.

 

Requirements:

- Bachelor degree or above in architecture, landscape or design-related discipline.

- Good command of Rhino, AutoCAD, Microsoft Office and Adobe software. Technologically adept.

- Fluency in spoken and written English, Cantonese and Mandarin.

- Ability to build and maintain relationships, proactive and able to work independently, efficiently and accurately; ability to work as part of a team, excellent communication, presentation, written and office related skills.

DESIGN TRUST ANNUAL INTERNSHIP PROGRAMME - GRAPHIC DESIGN

We are currently seeking interns in graphic design, individuals with strong research skills to work on book design, graphics for social media, infographics with a curatorial mindset. Interns play a key role in the accomplishment of our mission, and gain access to our staff and network of advisors, architects and designers here in Hong Kong and the region.
