JOB DESCRIPTION

Design Trust an initiative of registered charity Hong Kong Ambassadors of Design, an innovative non-profit organization, is seeking for a detailed oriented, and organized team member to engage in the smooth operations, financial and administrative matters, and office management of all the documentation of the organization, and supporting all day-to-day operations. Candidates should possess the ability to execute the overall administration, accounting, financial and smooth running of the registered charity.

This position is to commence as soon as possible on a two-year fixed-term basis with contract-end gratuity and contribution to a retirement benefits scheme. Shortlisted candidates will be invited to attend a written test and an interview.  Applicants with less experience may be considered for the post of Administrative & Finance Officer role.

 

Responsibilities:

- Work closely with the Executive Director and team members of the organization.

- Responsible for executing administrative duties, book-keeping and financial processing, and smooth running of the office.

- Ensure daily operations and functions are executed and on time.

- Maintain and update administrative filing in a systematic way, ensuring accuracy and validity of information.

- Keep financial records, performing financial procedures, and maintaining accounting records.

- Communicate with partnership institutions and organizations for DESIGN TRUST Gala, patron programmes and grants programmes.

- Develop and maintain effective office systems and supporting efficient running of daily operations, including office and archive gallery space such as minor office renovation matters.

- Ensure staff handbook is reviewed and updated as required.

- Maintaining personnel records, managing and executing all optimize procedures such as vendors, who are involved in database management.

- Attend all functions as required and provide logistics support for programmes and activities, venue and exhibition support logistics.

- Support all matters relating to the studio - office and archive gallery space such as office exhibition matters or design exhibition coordination related matters.

- Coordinate with outside consultants or departments, external vendors and service providers to ensure smooth daily operation

- Attend all functions as required and provide logistics support for patron and fundraising programmes and activities, venue and exhibition support logistics.

Requirements:

- University Degree holder.

- At least 5 years of full time working experience.

- Ability to build and maintain relationships, proactive and able to work independently. Work efficiently and accurately.

- Ability to work as part of a team, excellent communication, presentation, written and office related skills.

- Proficiency in MS Word, Excel and PowerPoint. Technologically adept.

- Fluency in spoken and written Cantonese, Mandarin and English.

Development & Events Manager

Design Trust an initiative of registered charity Hong Kong Ambassadors of Design, an innovative non-profit organization, is seeking for a dynamic, DETAILED Development & Events Manager to lead, manage and handle our development and growth.

With Manager level business development skills and acumen (Roles and title can be discussed in detail with the right candidates' background, strengths, experience), this role requires engagement with patrons, trustees, and sponsors relationships, as well as events management and exhibition production such as the Annual Gala and auction. Working closely with the Executive Director, the candidate should be a leader, an enthusiastic learner, detailed oriented, great organiser, self-starter, and interested in design, cultural and design related issues with international experience and global mindset. This position is to commence as soon as possible.

Responsibilities:

- Structuring and management of patrons, trustees, and sponsors relationships;

- Developing an annual programme of events for patrons, trustees, and sponsors;

- Driving and executing CRM/Database management and adhering to data privacy regulations;

- Work plan strategies including budgets, projected incomes and tracking monthly budgets;

- Building sponsorship acquisition and renewal strategies;

- Planning, executing and implementation of annual fundraiser and other events;

- Planning and implementation of marketing collaterals and messaging to ensure brand alignment and collaboration with team.

The position will require great communication skills in both spoken and written English and Chinese (both Cantonese and Mandarin), attention to details, and events management.

Fluency in spoken and written English, and Chinese is required. Strongly preferred with fluent spoken and written Mandarin Chinese/ Putonghua as a plus. Knowledge of the Design Industry, Exhibition Production, Cultural and creative ecosystem of Hong Kong, Greater Bay area, Shanghai and Beijing to Asian regions is expected and a knowledge and alignment with DESIGN TRUST core values.

Candidate with Master Level Degree academic qualification is preferred and highly recommended for this post. Minimum 5 years of work experience in a professional field is preferred.

Architectural Designer & Project Coordinator

Design Trust, an initiative of the Hong Kong Ambassadors of Design, is an innovative non-profit organisation, is looking for a dynamic, organized team member to engage in the project coordination for design and architectural programmes and public activities. Working closely with the Curatorial and Design team, the candidate should be an enthusiastic learner, detailed oriented organiser, self-starter, and interested in design, cultural and design related issues.

Responsibilities:

- Work closely with the Curatorial Team, to support and organise meetings, workshops, site inspections and events of the flagship project Design Trust Futures Studio micro-parks initiative and Heritage Craft programmes related to Greater Bay Area and Hong Kong, and Grants Programmes.

- Coordinate and liaise with internal and external stakeholders to ensure the smooth running of projects, including development and implementation of design proposals at different scales

- Research, design and coordinate production of publicity content, publications and exhibition materials

- Prepare presentation materials, proposals, reports and other documents

- Document and archive project materials in a systematic manner, ensuring accuracy and validity of information

- Support the implementation of marketing and PR strategy, through Design Trust’s website, social media and other channels

- Coordinate and handle incoming grants applications via online grant portal, liaise and work with the applicants and application vetting panel.

- Present and organise application and vetting process, ensuring transparency and fairness.

- Coordinate and schedule interview meetings with grant applicants and organise meeting notes and meeting summary.

 

The Appointee shall report to the Executive Director, or the Executive Director’s designated representative from the organization.

Requirements:

- University Degree holder in design or architecture related discipline

- 1-2 year working experience, preferably in architectural and design projects and design education

- Proficiency in MS Word, Excel, PowerPoint, and graphic design software such as Adobe InDesign, Illustrator and Photoshop. Technologically adept.

- Good command and understanding of 3D modelling, digital tools and drafting software is required.

- Fluency in spoken and written Cantonese, Mandarin and English

- Ability to build and maintain relationships, proactive and able to work independently. Work efficiently and accurately.

- Ability to work as part of a team, excellent communication, presentation, written and office related skills.

DESIGN TRUST ANNUAL INTERNSHIP PROGRAMME - GRAPHIC or ARCHITECTURAL DESIGN

We are currently seeking creative interns in graphic design, architectural designers, individuals with strong research skills to work on book design, programme research, Studio archival works, graphics for social media, infographics with a curatorial mindset. Interns play a key role in the accomplishment of our mission, and gain access to our staff and network of advisors, architects and designers here in Hong Kong and the region.
